1. Introduction
Dispatch ("Dispatch," "we," "us," or "our") provides software that helps service businesses manage leads, scheduling, jobs, invoices, team members, and related operations. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our websites, applications, and related services (collectively, the "Service").
By using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.
2. Information We Collect
We collect information in the following categories:
Account information. When you create an account, we collect details such as your name, email address, and password. If you create or join a workspace (organization), we also associate your account with that workspace and your role within it.
Workspace and business data. You and your team may enter or upload business content into the Service, including customer and lead information, property details, job and schedule data, quotes, invoices, timesheets, documents, messages, automation configurations, and similar operational records ("Customer Data").
Payment and billing information. If you subscribe to paid features or process payments through the Service, we and our payment processors may collect billing details, transaction records, and related account information. Payment card data is typically handled by our payment processors and is not stored by us in full.
Usage and device information. We automatically collect information about how you access and use the Service, such as IP address, browser type, device identifiers, pages viewed, referring URLs, and timestamps. We may also collect approximate location derived from IP address.
Communications. If you contact us for support or other inquiries, we collect the content of your messages and any information you choose to provide.
3. How We Use Information
We use information to:
- Provide, operate, maintain, and improve the Service
- Create and manage accounts, workspaces, and team memberships
- Process transactions, send invoices, and manage subscriptions
- Enable features such as scheduling, CRM, automations, portals, and notifications
- Communicate with you about the Service, including support, security, and product updates
- Monitor usage, troubleshoot issues, and protect against fraud, abuse, and security risks
- Comply with legal obligations and enforce our terms
4. Customer Data and Workspace Roles
Your organization controls the Customer Data it submits to the Service. Workspace owners and authorized members decide what information to enter, who can access it, and how it is used in their business operations.
We process Customer Data to provide the Service on your instructions and as described in this Privacy Policy and our Terms of Service. We do not sell Customer Data. We do not use Customer Data to advertise to your end customers on behalf of third parties.
5. How We Share Information
We may share information in these circumstances:
- Service providers. With vendors who help us operate the Service (for example hosting, email delivery, analytics, payment processing, and customer support), subject to contractual confidentiality and security obligations.
- Workspace members. Information associated with a workspace may be accessible to other authorized members of that workspace according to their roles and permissions.
- Legal and safety. When we believe disclosure is required by law, regulation, legal process, or to protect the rights, property, or safety of Dispatch, our users, or others.
- Business transfers. In connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate confidentiality protections.
- With consent. When you direct us to share information or otherwise consent to disclosure.
6. Meta Platform Data (Facebook and Instagram Lead Ads)
If your workspace connects a Facebook account through our Meta Lead Ads integration, we access certain data from Meta Platforms, Inc. ("Meta") on your behalf and on your instructions:
- Lead submissions. When someone submits one of your Facebook or Instagram lead ad forms, we retrieve the form responses (such as name, email address, and phone number) and associated ad campaign details, and store them in your workspace CRM as Customer Data.
- Page and account details. The name and identifier of the connecting Facebook account, the list of Facebook Pages that account manages, and access tokens authorizing Dispatch to receive leads for the Pages you choose to connect. Access tokens are encrypted at rest.
We use Meta Platform Data solely to provide the lead management features you configure — creating and updating contacts, deals, and lead attribution records inside your workspace. We do not sell Meta Platform Data, use it for advertising, or share it with third parties except with service providers that host and operate the Service.
You can disconnect Facebook at any time in Settings > Integrations, which deletes the stored access tokens. Facebook users may also request deletion of their data through Meta's data deletion process; we honor those requests automatically by removing the associated connection and tokens. 7. Cookies and Similar Technologies
We use cookies and similar technologies to keep you signed in, remember preferences, measure usage, and help secure the Service. You can control cookies through your browser settings, but disabling them may affect certain features.
8. Data Retention
We retain account information and Customer Data for as long as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Workspace administrators may delete or request deletion of Customer Data subject to technical and legal limitations. Residual copies may persist in backups for a limited period.
9. Security
We implement administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please use strong passwords and protect access to your account and workspace.
10. Your Rights and Choices
Depending on your location, you may have rights to access, correct, delete, or export personal information, or to object to or restrict certain processing. Workspace-related Customer Data is often best managed through your workspace settings or by contacting your organization's administrator.
To exercise privacy rights related to your Dispatch account, contact us at [email protected]. We may need to verify your identity before responding. If you are a California resident, you may have additional rights under the CCPA/CPRA, including the right to know, delete, and correct personal information, and to not be discriminated against for exercising those rights. We do not sell personal information.
11. International Transfers
We may process and store information in the United States and other countries where we or our service providers operate. Those locations may have different data protection laws than your home jurisdiction.
12. Children's Privacy
The Service is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the effective date. Material changes may also be communicated through the Service or by email. Your continued use of the Service after an update constitutes acceptance of the revised policy.
